Documents you submit are used only to fulfill your requested services. Final deliverables (such as tax returns) are returned to you. You maintain control of your uploaded information, and we do not archive client documents via this website.
We do not sell, rent, or share your personal information with third parties for marketing—ever.
3. Document Access & Retention
🗂️ Tax documents are stored in Mytaxprepoffice, where each client has a private portal to upload, review, and e-sign.
🧾 Payroll and bookkeeping files are handled through Drake Software, accessed only by Universal Tax Services staff.
🔐 All client data is password-protected and accessible only by authorized personnel.
We retain all documents and client-provided information for five (5) years, as required by IRS guidelines.
Clients may delete their documents from the portal before service begins.
Once services are provided or returns are filed, legal retention standards apply.
Our website does not store documents. Only Mytaxprepoffice and Drake Software are used to store sensitive client data.
4. Third-Party Service Providers
We use the following platforms to deliver and support our services:
Google Workspace (for email, calendar, file scheduling)
RingCentral (for secure phone communication – recorded line)
Squarespace (for website hosting only)
These platforms may collect minimal usage data, but we do not allow any unauthorized third-party access to your personal or financial information.
5. SMS & Phone Communication Policy
We may contact you via phone or SMS to:
Confirm, reschedule, or follow up on your appointments
Request information necessary to complete your services
Provide updates on your active file
We do not initiate text messages unless you have requested it.
We only reply to messages or texts that you initiate
No promotional or unsolicited marketing texts will ever be sent
All callback calls are made using RingCentral, a secure, business-grade communication platform, and may be recorded for compliance and training purposes.
By submitting your phone number through our website or forms, you consent to receive SMS or phone calls about your services.
To opt out of SMS at any time, simply reply STOP.
